      如何寫(xiě)一封標(biāo)準(zhǔn)的英文電郵?

      如果你沒(méi)在外企工作過(guò),對(duì)于英文電子郵件的寫(xiě)法可能不是很了解。今天英大就給大家正式講解一下:How to write an email in English?

      清晰、簡(jiǎn)潔、無(wú)誤,是寫(xiě)英文電郵的關(guān)鍵。



      一般,英文電子郵件包括以下4個(gè)部分:

      • Subject line 主題

      • Salutation 稱謂

      • Main point 正文

      • Closing 結(jié)尾




      1

      Subject line

      郵件主題


      郵件主題要簡(jiǎn)明扼要,講清楚你這封郵件的主要內(nèi)容/目的。


      Make sure the subject line is simple, specific, but catchy. Remember always that professionals may receive hundreds or more emails per day, the more specific and appealing the subject is the more easier is to connect it with one's personal work.

      郵件主題盡量保持簡(jiǎn)單、明確,但一定要抓人眼球。你要知道,專業(yè)的工作者每天會(huì)接收上百封郵件,你的郵件主題越簡(jiǎn)單明確、越能吸引他的注意。

      Salutation

      稱謂


      在郵件正文的開(kāi)頭,一般要加上禮貌稱謂。具體的稱謂用詞,視收件人和你的關(guān)系而定。


      1、Friends and colleagues

      寫(xiě)給朋友/同事


      在給朋友或普通同事寫(xiě)電郵時(shí)可以直接用“Hi”開(kāi)頭,如果你和ta關(guān)系不錯(cuò),也可以用“Hello”或者“Hello Tom”這種表達(dá)來(lái)開(kāi)頭。



      2、For acquaintances

      寫(xiě)給一般熟人


      如果你知道收信人的名字,可以用“Dear Mr Jones”或“Dear Ms Jones”來(lái)開(kāi)頭,對(duì)于不知道對(duì)方是否已婚的女性收信人,用“Ms”來(lái)代替“Miss”或“Mrs”比較保險(xiǎn)。

      如果你的收信人不只1個(gè),那么你可以寫(xiě)“Dear customers”或者“Dear partners”。


      如果你的收信人們和你是同一個(gè)公司或部門(mén)的,可以用“Dear All”,“Dears”,'Dear colleagues',或者說(shuō)“Hello everyone”。



      5、Writing to a group of bosses in your company

      給老板[們]寫(xiě)電郵,用'Dear Managers', 'Dear Directors'或者'Dear Board members'。(經(jīng)理、主任、董事會(huì)成員)



      6、No greeting

      不寫(xiě)稱謂


      這種情況經(jīng)常出現(xiàn)在公司內(nèi)部郵件中,同事們之間快速電郵溝通。這種形式的電郵,更像是使用電話的作用。這種情況下就不需要寫(xiě)稱謂了,直接寫(xiě)事情就可以啦。

      Your first sentence should tell the reader what your email is about. Here are four of the most common reasons for writing an email, along with some sentences you can use to start:

      4. Changing plans

      Sorry, but I can't make the meeting tomorrow.

      Sorry, but I won't be able to meet you next week.

      Sorry, but something has come up and I can't meet you for lunch.



      Your first sentence should only have one theme. For example, your reason for writing may be to ask for help, or to share some information, or to ask a question. Your first sentence for these different situations could be:

      第一句話只能有一個(gè)主題。比如說(shuō)你寫(xiě)電郵是想尋求對(duì)方的幫助,或者分享某些信息,或者詢問(wèn)一個(gè)問(wèn)題。那么對(duì)不同目的的郵件,你的第一句話應(yīng)該是這樣的:

      If you have more than one reason for writing, give each reason its own paragraph. It doesn't matter if your paragraph is only one line long. In fact, the extra space helps your reader to understand you have more than one reason for writing.

      如果你寫(xiě)電郵的目的不只一個(gè),那么每件事要有單獨(dú)分段。如果某一段只有一個(gè)句子,那也沒(méi)關(guān)系。因?yàn)榛剀?chē)空行可以幫助收信人迅速了解,你的郵件溝通的不只是一件事。

      Closing

      郵件結(jié)尾


      在郵件結(jié)束之前,再次對(duì)收件人表示感謝。比如,你可以用這些表達(dá):


      “Thank you for your consideration.”

      How to write better emails?




      1. Use a descriptive subject line.

      在郵件主題中寫(xiě)一些描述性的關(guān)鍵詞


      盡量簡(jiǎn)明扼要地寫(xiě)清楚重要信息,比如你可以寫(xiě)“Meeting at 10am about pay rise”,這樣把會(huì)議時(shí)間、主題等關(guān)鍵點(diǎn)都交代清楚了。盡量不要寫(xiě)“Urgent”這樣抽象空洞的主題詞。


      回復(fù)郵件時(shí)也要注意重新寫(xiě)主題,而不是用郵件系統(tǒng)自帶的Re: or R:R:。

      2. Keep your emails short.

      Try to keep to only one point in each email. If necessary, you can send more emails on different points. If you write a descriptive subject line for each email, it's easier for your reader to understand the content of your email.

      3. Make sure your reader knows what to do next.

      Help your reader act on your email. For example, if you want your reader to find some information for you, write 'Please can you find me the sales figures for 2009' instead of the vaguer 'I'm going to need the sales figures for 2009'.

      讓收件人在看完你的電郵后知道做什么。舉個(gè)例子,如果你想讓ta幫你收集信息,那么你就要用這樣的表達(dá)“Please can you find me the sales figures for 2009?”而不是“I'm going to need the sales figures for 2009.”



      4. Don't send heavy attachments.

      If possible, send a zip file, or give web addresses where your reader can find information.

      5. Be careful what you write in your email.

      Try to make your emails informative and polite.

      Avoid using emoticons and smilies in business emails, or too many exclamation marks.

      6. Check your email before you send it.

      郵件發(fā)送前要檢查,尤其避免語(yǔ)法、拼寫(xiě)等低級(jí)錯(cuò)誤。同時(shí)問(wèn)自己這幾個(gè)問(wèn)題:


      'Is this clear?'

      'Does my reader know what to do next?'

      'Is this polite?'

      7、Use a neutral Email address. 

      使用正式的郵件地址


      Your Email address should be a variation of your real name, not a username or nickname. Never use an unprofessional email address like fluffykitten@email.com. No one will take you seriously if your reply-to is joke name or inappropriate name.

      你自己的郵件地址,應(yīng)該由你的真實(shí)姓名演化而來(lái),不要用網(wǎng)名或昵稱。千萬(wàn)不要使用fluffykitten@email.com 這樣不專業(yè)的地址,因?yàn)闆](méi)有人會(huì)把一個(gè)不嚴(yán)肅地址發(fā)來(lái)的郵件當(dāng)回事兒。
